Website Maintenance and Compliance Tool
Quality of Life
General Fund Communications Recurring $8,500
This request is for an artificial intelligence-powered website management tool that helps ensure the City's
website remains accurate, current, accessible, and easy for residents to navigate. The platform continuously
scans website content to identify outdated, conflicting, or duplicate information, flags pages that may require
review or updates, and promotes a consistent voice and tone across departments. The platform also identifies
digital accessibility issues, such as missing alternative text and structural barriers, helping the City align with
accessibility standards outlined in the Americans with Disabilities Act (ADA) and Web Content Accessibility
Guidelines (WCAG). The Portable Document Format (PDF) remediation component would further support
compliance by ensuring publicly available PDF documents meet accessibility requirements. This tool will
improve the quality and reliability of online information while reducing staff time spent manually auditing
website content.
Recent federal regulations have established stricter accessibility requirements for local government websites
and digital content, making ongoing monitoring and compliance a critical responsibility for the City. This
request is for an automated tool that continuously scans the City's website for accessibility barriers, including
missing alternative text, structural issues, and other elements that may impact residents with disabilities. The
software helps staff proactively identify and address accessibility concerns, supports compliance with ADA and
WCAG standards, and reduces the risk of costly remediation efforts or potential legal challenges. In addition to
its accessibility benefits, the platform helps ensure website content remains accurate, current, and consistent
across departments. This investment supports the City's commitment to providing equitable access to
information and services for all residents while creating a more sustainable and efficient approach to digital
accessibility management.
City staff will continue to evaluate this and similar platforms for implementation prior to the deadline to
implement new federal regulations. This request will likely be included in the FY 2027-2028 proposed budget.
