DEPARTMENT PURPOSE AND GOALS
The City Secretary, appointed by the City Council, is responsible for the supervision of the City Secretary’s Office,
which includes the Records and Information Management Office, the M&C Center, as well as the Elections division.
The City Secretary’s Office serves as a coordinator for City Council meetings and records and maintains all of the
official City Council documents.
The Department also coordinates the City Council’s boards and commissions appointment process and maintains
the records relating to these appointments. The City Secretary serves as the Election Administrator for all city-
held elections. The City Secretary’s Office also coordinates the Public Official Ethics Ordinance and serves as the
official repository for associated document filings and campaign filings.
The Department is responsible for the publication of official notice requirements, the posting of all meeting notice
requirements and for the update and distribution of the city’s Code of Ordinances. The Department provides
support services to various corporation boards, including the Crime Control and Prevention District Board.
The Department serves as a central repository for a wide variety of official municipal records, contracts and other
information. The staff performs research and responds to requests for information from the City Council, city staff
and citizens.
The Department administers the city’s Public Information Act (“the Act”) request program by working with the
City Attorney’s Office and responsive departments to receive, track, and respond to requests under the Act.
The Records and Information Management Office advises and facilitates the creation, maintenance, retention,
access and disposition of all city records and works with the Information Technology Solutions Department to
deploy and manage enterprise information management solutions among city departments.
