DEPARTMENT OUTLINE: CITY SECRETARY

               The City Secretary’s Office documents, catalogs, safeguards, and provides on-demand access to all business
               and legal records created or received by the City and the EDC. The Office of Communications disseminates
               information of interest to residents, stakeholders, and the media via printed publications, the website, social
               media, the e-newsletter, and press releases.


                H I G H L I G H T S   A N D   G O A L S   A C C O M P L I S H E D
                      Continued promotion of the newsletter, resulting in a 250% increase in subscriptions since
                       FY16 and an open rate that is twice the industry average

                      Designed Summer Reading Club materials including the registration flyer and website

                      Expanded the age range for the Youth Advisory Council (YAC) to increase membership
                      Promoted awareness of the 2020 Census within the community
                      Informed the community of emerging COVID-19 regulations and information via the web,
                       newsletter, and social media

                      Implemented virtual meetings for City Council and Boards during the COVID-19 pandemic
                      Collaborated with other Directors on the reopening strategy following COVID-19

                      Worked closely with City of Arlington staff to keep residents informed of utility billing
                       changes and the progress on the collaboration with the City of Arlington

                      Collaborated with Finance to redesign the budget document
                      Coordinated a full review and update of the Schedule of Administrative Fees

                      Continued growth of online subscriptions and social media; and standardize imagery
                      Strengthen civic engagement by streaming Council and board meetings

                      Increase media coverage for community events and achievement announcements
                      Train personnel and board members on Open Meetings Act and Public Information Act
                      Evaluate status of records both locally and off-site to free up space and reduce costs

                      Develop Policies and Procedures Manual for the City Secretary's Office

                      Strive for accuracy and consistency of municipal code, in all publications, at all times
