Who we are
The City Secretary’s Office mission is to maintain accountability for enhancing governmental
excellence and transparency when serving the public, elected officials and city departments. The office
strives to provide high quality services and deliver excellent customer service while maintaining the
integrity of the election process, access to city records, facilitating the city's legislative process, and
recording local government history, ensuring compliance with federal, state, and local statutes.

FY 2019-20 Top Accomplishments
Working with our Community Partners, in November, the office was able to recruit an intern from
Birdville ISD through their Marketing and Business Class program. This position has introduced our
intern to city government, records management, open meetings and council support. This
internship contributes to 40% of the student's grade.
Beginning last fiscal year, the office began providing various reports and permits online that were
frequently requested open records requests. The Public Information Act allows a governmental
body to direct a requestor to the entity’s website (URL) if the information is responsive and
available. It has taken close to ten (10) months, but the office is finally seeing a decline in the
In November, the office provided training on GovQa, the city’s Public Information Request
Portal/system to staff. Showing users tips and tricks to make their role in answering open records
requests quicker and easier.
In March, the office completed a productive document shred in compliance with State statutes.
The event consisted of 149 boxes, 22 large boxes, 122 hard drives, 134 cassettes, 4 VHS tapes, 2
Thumb drives, 2 CD’s and 83 Microfilm; which equates to over 7, 000 pounds. That’s a full grown
hippopotamus, an average African elephant, or two American bison!
In February, the office began working with IT, Police Department, Municipal Court and Legal
Department to streamline the Public Information Act request process through our online Public
Information portal GovQa/WebQa on the city's website. The office hopes to bring a request for
consideration and approval to the governing body this year.
